What to include on a receipt
A complete receipt should include the following information to be useful for both you and your customer:
- Your business name and contact details — name, address, phone number, and optionally your ABN or business registration number.
- Receipt number — a unique number for your records. Sequential numbering (001, 002, 003) is the simplest approach.
- Date — the date the payment was received.
- Items or services — a description, quantity, and unit price for each line item.
- Tax — the tax rate and amount, if applicable to your business.
- Total amount — the final amount paid including tax.
- Payment method — cash, card, bank transfer, or other.
- Customer name — optional but useful for both parties' records.
When to use a receipt vs an invoice
A receipt confirms that payment has already been received. An invoice is a request for payment that has not yet been made. If your customer has already paid you, give them a receipt. If you are billing them for work completed or goods delivered, send an invoice first, and then issue a receipt once payment arrives.
